Start with the job and its constraints
Describe the asset, intended work and interfaces before asking for credentials. General building work and specialist systems can need different competence and controls. Identify occupied areas, restricted equipment and interactions with other contractors.
Give bidders enough information to explain a suitable delivery method. Ask what cannot be confirmed until a survey or specialist assessment. A clear limit is more useful than a promise to handle every trade without identifying the delivery route or responsibilities.
- Task and restrictions defined
- Specialist work separated from coordination
- Information and access limitations disclosed
- Supervisor and client contact identified
Check the people and task-specific evidence
Ask for relevant skills, experience and qualifications or registrations applicable to the proposed work. Where possible, verify current status and scope with the issuing body. Evidence should relate to the person or organisation performing the task, rather than a similarly named business.
Review insurance scope and exclusions for the proposed activity. Ask for relevant references or example records that can be shared legitimately. Avoid collecting unnecessary personal documents and use a controlled route for sensitive evidence. This is a practical purchasing approach, not an accreditation scheme.
- Attending personnel and responsibilities
- Current evidence relevant to the work
- Insurance scope and limitations
- Relevant reporting and supervision examples
Understand subcontractors and site controls
A managed FM package may use specialists. Ask who selects them, checks suitability, coordinates work and holds the final record. Understand the delivery chain rather than assuming that the lead provider directly employs every trade.
Discuss induction, hazards, access and permits alongside site arrangements. HSE contractor guidance covers selecting, planning and managing work; procurement paperwork does not replace operational controls. Construction or specialist work may involve additional requirements needing suitable assessment.
- Subcontractor selection process
- Responsibility for coordination
- Information exchanged before attendance
- Escalation for changed working conditions
Review delivered work after appointment
Recheck relevant evidence when personnel or scope change. Compare work records with the agreed task and ask who follows up recommendations. Valid credentials do not remove the need for a usable handover, clear responsibilities and evidence of actual delivery.
Sample tasks, defects and changes during service reviews. When a gap is found, establish the next suitable action rather than merely requesting a replacement certificate. This guide does not certify a contractor or claim Pearl Lemon has accreditation for a particular specialist activity.
- Checks repeated after material changes
- Records matched to agreed tasks
- Recommendations with action owners
- Claims verified rather than inferred from branding
Sources and editorial responsibility
This is company-published buyer guidance. Official sources support the context, not an endorsement, accreditation or a claim that we inspected your premises. Use competent advice for the specific building and work involved.
We have a commercial interest in FM enquiries. Read our editorial standards or send a correction.
